MINUTES OF THE 62nd ANNUAL GENERAL MEETING

MONDAY: 17th JANUARY 2011 AT CHURCHILL PARK GOLF CLUB

1. Opening

President Ray Underwood opened the meeting at 1.00pm and warmly welcomed the 45 members present.

He said he could not remember a more enjoyable and solid a year as 2010 and hoped that 2011 would be even better.
Ray thanked the host club for their hospitality.

2. Apologies

Apologies were received from John Hiscock, Ken Fisher, Geoff Cohen, Mario Andreola, Hugh Churchward, Lindsay Quennell, Terry Brownscombe, Michael Sales, Alan Carns and Dave Da Fonte.

3. Minutes

Ray asked those members present if they had any questions regarding the Minutes of the 2010 Annual General Meeting.
Given that there were no questions, the Minutes were taken as read.

4. Correspondence

Outgoing Secretary, Lance Bolam, reported that correspondence was received from member, Kelvin Tyler, regarding Veterans Golf Monthly Fees. He advised that this matter would be dealt with later on in the meeting

5. Annual Reports

5.1 Treasurer's Report

Treasurer John Farrow presented the Annual Income and Expenditure Statement for the year ended 31 l)ecember 2010.The report show-ed a surplus of $1,245 compared to a surplus of $5 19 the previous financial year. He mentioned that once again the surplus was due to the receipt, in November, of a second anonymous donation of $1,000.

Apart from this the Club managed to just about break even, thanks to the wonderful work of Ken Gangell in running the monthly raffle, which contributed $849 duringthe year. He thanked Ken for his great efforts during 2010 and asked that he keep it up in 2011.

He advised that all in all 2010 was a very successful and enjoyable year.

Finally, as this was to be John's last report as Treasurer, he thanked all who have been so generous with their help and time during the last five years.

All in all a very successful and enjoyable year, I think you will agree.

5.2 President's Report

President Ray Underwood presented his circulated report for 2010 and highlighted that it has been a year of consolidation for the Club with many newer members taking an active role in the operations of the Club. He mentioned that this was essential for the continued existence of the Club.

During 2010 we gained l3 new'members which ensured numbers remained strong across all our activities, inciuding the Tri Series at Sunshine Golf Club, Eagle Ridge Golf Club and this year, the introduction of an annual challenge match against the Brighton Golf Club veterans.

Ray thanked all the members of the Committee for their support during the year. Their hard work and dedication ensured all Club activities ran smoothly and successfully.

Handicapper Grant Haselgrove continued to administer the Clubs own system with great success, giving all members a chance to win monthly and annual trophies. Of the 8 annual Trophy winners for 2010 only 2 had been successful in 2009 and only 1 in the same category.

Marketing 'Guru' Ken Gangell and our major sponsor Pat Levy of J. M. Gillies again ensured we had a great range of trophies throughout the year.

Continuation of the monthly raffle has had a positive effect on our finances and Ken has been the driving force behind its success. Ray thanked all members who donated prizes

Outgoing Captain, Bernie Coyle, has again arranged a great cross section of courses for 2011, balancing the challenge of maintaining the quality of courses to meet the expectations of members against ever increasing fees charged by the Clubs. He congratulated Bernie for a job well done.

Ray gave special thanks to Treasurer, John Farow, who was not standing for re-election. For the past 5 years John has managed the very irnportant job of keeping the Club financial. 

He also made special mention that Vice-President, John Currie, who after 4 years, 3 years as President and who guided the Club through some difficult times, was not seeking re-election.

Furthemore, he mentioned that Bernie Coyle would remain on the Committee, but would not be nominating for re-eiection as Captain. This would allow Bernie to take a well earned break, relax and enjoy Club golf days a little more.

On behalf of the Comrnittee and all members, Ray gave a big thank-you to Treasurer John, Vice-President John Currie, and Captain Bernie for jobs well done and greatly appreciated.

In signing off his report for 2010, Ray mentioned that it was his great privilege and pleasure to acknowledge the outstanding contribution to the Club made by Lance Bolam, over a period of 18 years, serving as Vice-Captain, Captain and Secretary. Lance joined the Club in 1992 and ever since has been instrumental in the smooth and continuous operation of the Club. He mentioned that members who served on the Committee during Lance's stewardship have benefitted from his timely reminders and low key, no fuss, organizational ability. Lance has resigned as Secretary and is taking a well earned break from an active role on the Clommittee.

Ray gave his personal thanks to Lance and said that the Club was forever indebted to him for his contribution.

Finally, Ray gave a big thank you to all members for their support and participation in Club activities during 2010 and advised that he was looking forward to another year of enjoyment and fellowship in 2011.

5.3 Captain's Report

Captain Bernie Co,vle presented his circulated report for 2010. He trusted that all members had an enjoyable Christmas with their families and that all were looking forward to some good golf in 2011.

Bemie felt that 2010 was a very different year to the previous four or so years. Members endured some very wet courses and the Club even had to cancel a game - a rare occurrence. There were 14 games on the syllabus for the first time, with a challenge game against Brighton Golf Club for a perpetual shield, which our Club won by one point. The Club also had a successful return to Amstel Golf Club where we had our biggest attendance of the year and an excelient lunch. Many trophy winners this year were first time winners and Bernie was very pleased to see that occur.

He advised that the Club finished the year off with its presentation lunch at the newly refurbished Rossdale Golf Club clubhouse. It was an enjoyable day with good food and fellowship.

ln the year ahead, games were scheduled at Brighton Golf Club and Amstel Golf Club. in addition to normal venues. There are 14 games on the 2011 calendar and he hoped that members will continue to support each game

Bemie gave a special thank you to Match Committee members, Gary Finnis and Grant Haselgrove and to all those who helped as starters for each game. He also thanked all of the other Committee members.

Finally, he stated that he thought most people understood the Captain's role in the Club, but may not appreciate the amount of work undertaken by Lance Bolam as Secretary and Grant Haselgrove as Handicapper. He said that the effort put in by these two people is massive and members simply see the end product. The records kept by these important people are extensive and the Club could not function without them. He said that the use of the Club's own handicapping system is an essential part of what we do, where so many players do not now have official handicaps. He expressed his thanks to both for their tireless work.

Finally, in this his last report as Captain, he asked that all members play well in 2011.

6. Election of Office Bearers

Life Member Lance Bolam called for nominations for the 2011 Club President

Ray Underwood was nominated by Lance Bolam seconded Bernie Coyle.

There being no other nominations, Ray was declared elected and assumed the Chair

8. Notice of motion

Proposed Amendment to Constitution Clause 7 : Life Membership

It was recommended by the President, that the Constitution of the Veteran's Colf Club of Victoria Inc. be amended as set out hereunder:

"Any member of the Veteran's Golf Club of Victoria Inc., who has rendered valuable service for the benefit of the Club and has achieved the criteria scoring system of 60 points, may on the recommendation of the Committee to any Annual General Meeting be elected a Life Member without the payment of any further annual subscription.

The President then outlined the Committee approved scoring system to all members present:

Ordinary Member:   1 point per year
Committee Member:  2 points per year
Vice-president:     3 points per year
Vice-Captain:     5 points per year
President:       6 points per year
Treasurer:       7 points per year
Marketing/Social:    7 points per year
Handicapper:      7 points per year

9. General Business

9.1 Life Membership

The outgoing Committee of 2010 recommended that Life Membership be offered to Grant Haselgrove and Ken Gangell in recognition of their wonderful contribution, service and loyalty within the club over the past 10 years.

9.2 Match fees

The issue of reviewing the Monthly Match competition Fee of $35 was raised by the President. Ray mentioned that the club should break even in 2011, but with many of the courses we love to play and enjoy, i.e. Keysborough Golf club. Cranbourne Golf club and Rossdale Golf Club, raising their competition fees markedly, it is very important every member of our club put forward their thoughts on this important issue which affects our future together. He asked that all members pass on their thoughts on this matter to an existing Committee member as soon as possible. This will ensure maximum consideration before any decision is made regarding fees for 2012.

9.3 Monthly fees email

Veterans Golf Monthly Fees email - Kelvin Tyier. The President proposed that matters raised by Kelvin Tyler be incorporated into the Clubs proposed review of Monthly Match Competition Fees.

There being no further business the President Ray Underwood closed the 62nd Annual General Meeting at 1.40p.m.
