February 2022 Newsletter

President Report

President Report:

All members were welcomed to the Rossdale Golf course where we had a shotgun start on the complete course.  The Rossdale club were thanked for hosting the tournament with the course in great condition.

The tee masters did an excellent job on having the field on their appropriate tees by 7.15am - well done Peter Garbellini, Jeff Stevens and money man Peter Ross.

Members were invited to participate in the VVGA 4BBB 2 day tournament at Belvoir Park Golf Club in Bendigo on Monday 21st and Tuesday 22nd March to represent the Vic Vets Club. For further info contact the president for the appropriate forms.

It was a pleasure to announce our new sponsor "Jimmys Jams" and David Heraud was thanked for his support. David joins The House of Golf (Mentone) as our sponsors and members are requested to shop with them in appreciation of their help to the Club.

It is appreciated seeing our members embrace our EFT payment system on tournament days along with payment of their Annual subscriptions for 2022 which is $40.

The AGM witnessed the current Committee members of 2021 being reelected again to the CoM for 2022.

We, the Veterans Golf Club of Victoria wish to congratulate the following members on attaining Life Membership of the club - Daryl Edwards, Ray Desmond and Jeff Taylor for their services to the club over many years, which was voted unanimously by all present.

A special thought was expressed to the members for those unable to attend while continuing their personal health treatments.

Committee assistants

The current Club Committee has remained almost unchanged for a long time with 5 of the 9 members exceeding 6 years on the Committee. It is not good for an organisation to maintain this level of incumbency as even with the best of intentions we can lock out new ideas and potential improvements.

The CoM are looking for members to step forward in a role of assistant to committee members with a view to helping now and potentially joining the committee in future with a background understanding of the various roles to run the club.

Secretary

Beverly Jenkin has volunteered to fulfill a role as Assistant to Secretary Jeff and this was supported with a round of applause from all members.

Webmaster

No-one expects that the Club will be fortunate to get another Webmaster with Laurie's range of skills and interests. However, planning and task documentation has been in progress for years to enable a team of members to upskill and carry out individual parts of the overall task. Individual aspects of the Web site tasks are:

  1. Uploading files: The web site consists of nothing more than a set of files in relevant folders. After creation these files have to be uploaded to the web site. This is an absolutely essential item for the web site and it is highly desirable that the skill is widely available across the Committee, particularly for the Newsletter editor to upload the newsletters, the Secretary to upload minutes, the Captain the upload timesheets, the Handicapper to upload the detailed events results page, the Treasurer to upload financial reports and obviously the Webmaster. The software used is free, runs on all operating systems and if you can use Windows Explorer you can do this task. One individual could take on uploading tasks receiving files by email and then uploading.
  2. Data entry: Outside of file uploading the Club's website contains a database. Information is added to the database simply by filling in forms. You do this every time you make an online booking to play. The majority of the forms are completed by the Secretary. As well the Handicapper enters results data after every event, the Treasurer records payments and the Captain enters information about our scheduled events.
  3. The newsletter: Production of the Club newsletter has fallen to the Webmaster and one can speculate whether it should be the role of a Webmaster or a delegated Newsletter Editor. It is certain that in the future there will have to be a dedicated newsletter Editor. The task of creating the newsletters has been highly automated, but there are still a set of tasks associated with the newsletter. They are:
    • The President writing his report in HTML format.
    • Proof reading and uploading of the Presidents report.
    • Typing the captions on the various images used in the newsletter.
    • Production of the joke files including sourcing of jokes and preparation of the images.
    • Sourcing and editing of other pictures including each months winners.
    • The results reports are almost fully automated by reading results entered to the database by the Handicapper, only requiring input from the editor in the months where we hold two events and when we play a 4BBB or Ambrose.
    • With exception of the image the birthday segment is fully automated
    • Uploading the files comprising the newsletter.
    • Proof reading of the finished newsletter. This is currently done by Rod Goode.
    While it is not difficult the Newsletter files are required to be in the HTML format and anything produced in Microsoft Word is useless.
  4. Creating reports: There are a large number of reports of membership information available to the Committee. If a new report is needed a higher level of knowledge is required, but is not beyond any member with enthusiasm to learn.
  5. Backup of club database: This is currently done monthly by Roger Huxstep.
  6. Changing committee members phone numbers: These are stored in the Web Site host's database and are used to forward emails addressed to addresses like president@vetsgolfvic.org.au through to the relevant Committee member. Again Roger Huxstep has done this in the past. Also the email addresses of the Treasurer and Webmaster need to be changed when appropriate as each receive messages about accounts and site management issues etc. from the web host.
  7. Creating the annual presentation dinner report: This report requires a lot of photograph management and while largely automated it still takes some time to manage the photographs and create the report.
  8. Correct errors in the website programming: While it is believed the web site is fairly well debugged, Laurie is a human and makes mistakes. Having site misbehaviour reported helps to get these items fixed now. Long term the Club may need to employ professional help for this task.
  9. Future of the Webmaster role: If the web site is to retain its current level of usability and while a future Webmaster may not need to have all or even any of the skills listed above, someone in the Club will need to ensure there are members of a team with the skills to carry out each of the above and that they do so in an appropriate time frame.

Marketing Manager

Current marketing Manager Daryl has had more than a decade in the role critical to our enjoyment of our golf and would prefer to retire soon. He is ready to pass on his skills and contacts for the role,

Handicapper

Treasurer Peter used to fulfill the role of assistant handicapper. There is now a role for an assistant handicapper and again the member can learn the esoteric skills of managing our handicaps while assisting with results management.

Peter Ross celebrated a good day at Rossdale by winning the door prize of a round for 4 at Rossdale.
