Minutes of 70th Annual General Meeting held on Monday 3rd February 2020 at Rossdale Golf Club.

1. Opening

President Donald opened the meeting at 1.35 pm and warmly welcomed all members present. He reported that all relevant documents pertaining to the AGM had been circulated by our Club Secretary, Jeff Taylor. He thanked Jeff for his tremendous efforts in organising the AGM.

2. Apologies

Apologies were received from Lance Bolam, Peter Bywaters, Bernie Coyle, Philip Horsborough, Tess Killmister, John Killmister, Karl Lindberg, Fay Quennell and Jeff Stevens.

3. Minutes

Donald stated that the minutes of the 69th AGM meeting had been circulated to all members either by email or post and asked whether there were any matters arising from these minutes. None were raised.

4. Annual Reports

Donald stated that all reports had been fully circulated to the members and that he did not propose that they be read out.


4.1 President's report for year 2019.

2019, the year of our 70th anniversary, was another successful year for our Club. Our membership numbers continue to rise and at the end of last year reached 105 members. In addition, the participation rate (no of members actually playing each month) also rose to hover around the 60 mark. These two trends are very significant as we aim to put this Club on a sustainable footing. I thank all members for their continued efforts to introduce new members. The highlight of 2019 was our Anniversary competition held at Spring Valley GC in November, which was attended by over 70 members in addition to some of the Club stalwarts who have served this Club so well over the years. It was a delight to see them all together over lunch. My thanks to our Captain, Harold Hayes for his outstanding leadership in organising this event.

We have continued to make progress towards having a social golf club that provides its members with the opportunity to play fair and competitive golf events at quality venues, ably supported by the necessary systems and processes that we now all take for granted. My thanks to Laurie Comerford for his superb work in keeping our technology safe and relevant, to Treasurer David Vine for a strong sustainable financial platform and to Secretary Jeff Taylor for keeping our administration running so smoothly. Our goal is to have the host clubs manage the scorecards, results etc. on matchdays, underpinned by having all members on Golflink numbers which is in line with all other clubs who are affiliated with the Victorian Veterans Golf Association. This achievement will further strengthen our administration systems.

All of the improvements on the golfing activities of our Club are very welcome, however it will not be at the expense of an erosion of our social values which lie at the heart of our Constitution. I am constantly reminded that our members enjoy the friendship and companionship of their fellow Vets, before, during and after our matchday gatherings. We will continue to value the company of fellow members especially as we strive to enlarge the Club in the years ahead. We need look no further than the fun and enjoyment that is on show at our annual Xmas functions, despite ever increasing numbers of attendees. Long may it continue.

My thanks to all the Committee members of 2019 for their diligence, hard work and good humour. It is because of them that I am able to submit such a positive report.

I am retiring from office at the AGM in February 2020. I must say that it has been a privilege to be involved with the Vets over the past 10 years or so. I look forward to playing the monthly competitions with you all, meanwhile I have every confidence that with the people we have, this Club will continue to flourish.

Captains report for the year 2019.

2019 was exciting as we enjoyed an influx of new members, including 4 lady members which is a first for our club. The weather throughout the year was good for golf and the numbers were 18 more than 2018.

Our big event for 2019 being our 70th anniversary which we held at Spring Valley Golf Club. Numbers were terrific 72 players with a shotgun start. Our winner on the day was John Field. Our club commenced playing golf at Spring Valley in 1949 with 9 holes in the morning, followed by lunch then a further 9 holes after lunch. If you failed to play after lunch you incurred a suspension which was not playing the next game.
Spring Valley is an excellent golf course and a tough one,but a great day was had by all. Thank you to all that attended.

As we promised in 2018 there would be more shotgun starts, which we achieved. If they are to be successful, we all have to arrive in plenty of time to commence on the allotted holes. Hopefully we can achieve that in 2020.

Our administrative processes, including on line bookings and course directories, continue to improve courtesy of the magnificent work done by our webmaster Laurie Comerford. Well done Laurie.

Our handicapper Ray Desmond has done another excellent job. This year we had 12 individual winners which is a great result for Ray. Well done Ray. Also a special thanks to Peter Ross for his help throughout the year. Great job guys.

To my vice-captain Jeff Stevens, a big thanks for all your help throughout the year. Especially the help in making our 70th Anniversary at Spring Valley a big success. Thank you Jeff.

To the 24 starters we had during 2019, I personally thank you all. Without you guys it would be difficult to organise our fields.
Hopefully 2020 will bring more members to have a go at starting duties.

As a club we face the same challenges every year to keep our numbers up. We still need to encourage friends, acquaintances and fellow golfers to come and join a remarkable social golf club. On behalf of the committee our thanks go to all of you. You are the essence of the Club

Financial strength and sustainability is another ongoing challenge. Thanks to our Treasurer David Vine and his wonderful team of helpers, Daryl Edwards and John Hiscock who run a very successful monthly raffle. Special thanks to Chris Thorne in providing a $100 voucher for window cleaning every month. Thank you David, Daryl and John.

Our 2019 Club Champion is Christopher Tierney, who was very excited to win and a little shell shocked. A very worthy winner. It was a great achievement and thoroughly deserved. Well done Christopher.

Treasurers report for the year 2019.

Members

I am pleased to present the Financial Report for the year ended 31st December 2019.

We have again had an enjoyable year with playing membership increasing to 105 with about 60 members playing each round.

We had a small surplus in 2018 of $438 and had a similar surplus of $472 for 2019. Daryl Edwards has a tight control on clothing stock, which is now $204, down from $292 in 2018.

The monthly raffle continues to be successful and contributed $3,995, same as 2018, thanks to the generosity of members. The committee thanks all members for their support.

As expected, green fees showed a loss of $2,994. This emphasises the importance of the monthly raffle.

Joining fees for new members and our annual subscriptions rose to $3,570, an increase of $390. With our club now open to lady members I expect an increase for 2020.

The financial status of the club is still sound, as we currently have $8,217 in the bank.

Your committee believes that we can maintain the present fee structure at $45 per round of golf and annual subscriptions at $30 for 2020.

5 Annual Subscription, Joining and Match Fee

President Donald advised the meeting that the outgoing committee has recommended the following

  1. That the annual subscription fee remains at $30
  2. The monthly match competition fee remains at $45
  3. Where a member plays at their host club, their fee remains at $10 per match to cover the cost of lunch
  4. The joining fee remains at $65 to include the purchase of the Club shirt

6. Election of Office Bearers for 2020

In accordance with Section 11 of the Clubs Constitution, all office bearers have resigned. All members were sent a nomination form for the Committee positions. We have called for nominations for all positions and we have received one for each position.

In accordance with tradition, Past President Donald MacDonald was asked to conduct the election for the 2019 Club President. Donald thanked the members for the opportunity to start the 2020 elections.

Proxy Votes: from Jeff Stevens for Jeff Taylor to vote for him, Philip Horsborough for Jeff Taylor to vote for him if required.

6.1. One nomination has been received for President and he is Roger Sellwood, nominated by Jeff Taylor and seconded by Peter Ross. There being no other nominations Roger was declared elected as President for 2020.  Donald then vacated the chair and Roger took the Chair and thanked Donald for his assistance.

6.2. Peter Garbellini was nominated for Vice President by Jeff Taylor and seconded by Roger Sellwood. No other nominees, he was declared elected.

6.3. Harold Hayes was nominated for Captain by Laurie Comerford and seconded by Jeff Taylor. No other nominees, he was declared elected.

6.4. Jeff Stevens was nominated as Vice Captain by Donald MacDonald and seconded by Jeff Taylor. No other nominees, he was declared elected.

6.5. David Vine was nominated as Treasurer by Laurie Comerford and seconded by Jeff Taylor. No other nominees, he was declared elected.

6.6. Jeffrey Taylor was nominated as Secretary by Phillip Horsburgh and seconded by Peter Ross. No other nominees, he was declared elected.

6.7. Ray Desmond was nominated as Handicapper by Peter Ross and seconded by Jeff Stevens. No other nominees, he was also declared elected.

6.8. Daryl Edwards was nominated as Marketing Manager by Phillip Horsburgh and seconded by Gary Finnis. No other nominees, he was declared elected.

6.9. Laurie Comerford was nominated as Webmaster by Jeff Taylor and seconded by Donald MacDonald. No other nominees, he was declared elected.

On behalf of the members, Roger thanked all those on the 2019 Committee and new Committee member Peter Garbellini for volunteering their services to the Club in 2020.

He expressed confidence in the 2020 Committee and said that he was sure that we would keep moving ahead this year as we have done in previous years.

Plus asked members to wear the yellow shirt and blue name badge with pride at each game.

7. General Business

Roger asked if there were any items of General Business?

7.1 Laurie Comerford suggested an appreciation of Donald's contribution to the Club over many years particularly as Captain then President. A round of applause was given.

7.2 David Vine - members generosity raised $920 for the bushfire recovery in East Gippsland. Roger is to find out which golf club(s) need monies to recover e.g fire damaged equipment, trees, water tanks, etc. 

President Roger will update members on how we distributed their magnificent contributions to the Bushfire Recovery Appeal at our next game at Waterford Valley in March.

8. Meeting Closure

Roger then wished all members a happy, healthy and successful 2020 and closed the meeting at 1.52 pm.
